What it does

Clubs & Areas is where you set up the physical structure of your business: each club (its address, brand, gender, and opening hours) and the zones and rooms inside it (Studio A, PT Zone, Pool, Sauna). This structure powers almost everything else — scheduling places classes into rooms, access control checks gender and hours at the gate, and capacity limits decide when sales or bookings are halted. Key concepts

  • Club — a single facility profile: name, location, brand (e.g. Optimo / B_FIT), gender designation, operating hours, and tax/jurisdiction settings.
  • Zone / Room — a functional area inside a club. Each has a capacity, equipment, gender restriction, and a bookable/non-bookable flag.
  • Operating hours & seasonal overrides — normal hours plus reusable templates for Ramadan, holidays, or summer schedules.
  • Zone early-close — a zone (pool, spa) can close earlier than the club; access there is rejected after its own close time even while the club is open.
  • Capacity cap — a maximum active-member limit per club. When reached, online sales stop and prospects are routed to a waitlist.
  • Gender enforcement — a hard rule that blocks a member whose profile gender doesn't match the club or zone designation, at the gate, online, and at the POS.

Main tasks

Set up a club

  1. Go to Clubs (or Facilities) and click New club.
  2. Enter the name, address/geo-location, brand, and gender designation.
  3. Set the standard operating hours, then add any seasonal overrides (Ramadan, holidays).
  4. Save — the club is now selectable across sales, scheduling, and access control.

Define zones and rooms

  1. Open a club and go to its Zones / Rooms tab.
  2. Add a zone (e.g. Studio A, Pool) and set its capacity, equipment, and gender restriction.
  3. Mark it bookable if classes/PT can be scheduled there; leave non-bookable for areas like the smoothie bar.
  4. Optionally set an early-close time for zones like the pool or spa, then save.

Set capacity limits & waitlist trigger

  1. In the club's settings, open Capacity.
  2. Enter the maximum active members for the facility.
  3. Enable the waitlist routing so that, once full, new online sales pause and prospects join the waitlist instead.

Tips

TIP

Gender enforcement is a fail-safe — staff cannot manually assign a member to a facility of the wrong gender. Set each club's and zone's gender designation carefully before going live.

Use seasonal override templates (e.g. Ramadan hours) so you can switch a whole brand's schedule on or off without re-entering hours for every club.
