What it does

This module calculates what your staff earn on every sale and session. You set up commission groups and tiers, link products and services to them, and the system works out each payout automatically — always on the net (pre-tax) price, never on VAT. It knows the difference between earning a commission when a package is sold and when a session is conducted, handles splits between two staff, claws back commission on refunds, and keeps an immutable ledger you can hand straight to payroll.

Key concepts

  • Commission group — a container that links products/services to a tier structure. Each item belongs to one group, so no one gets paid twice for the same sale.
  • Tier — a payout band based on a range type: total amount sold, total units sold, or total sessions conducted. Rates can be a fixed amount or a percentage, and staff move up tiers as they perform.
  • Net value basis — commission is always calculated on the price after the 15% ZATCA VAT is stripped out and after any discount.
  • Sale vs conduction — two separate trigger types: point-of-sale commission (for selling a package) and conduction commission (for delivering a session). They're recorded as distinct ledger events.
  • Split — sharing one commission between two employees (e.g. 70/30) for a co-sale or co-conducted session.
  • Clawback — an automatic negative entry when a sale is refunded or a session is voided, linked to the original transaction.
  • Commission ledger — the immutable, filterable record of everything earned, clawed back, and adjusted.
  • Monthly target & accelerator — an optional monthly sales target per salesperson. Commission is still earned per sale (the greater of a percentage of value or a fixed amount); at payout, a tiered accelerator — a multiplier that steps up as they reach higher % of target — boosts the total the further they beat target.
  • Payout run — commissions move through preview → create → approve → mark paid. A rep can't approve their own payout (manager only), and refunds or cancellations claw the commission back.

Main tasks

Set up commission groups and tiers

  1. Go to Commissions → Groups and create a commission group.
  2. Link the relevant products/services to it (each item in only one group).
  3. Add tiers — choose the range type (amount, units, or sessions), set fixed or percentage rates, and a valid-from date.
  4. Assign employees to the right tier. Rate changes apply going forward only; past commissions aren't affected.

Set monthly targets and accelerators

  1. Set a monthly target per salesperson.
  2. Define the accelerator tiers — multipliers that step up as they hit a higher % of target.
  3. Commission is still computed per sale (the greater of % or fixed amount); the accelerator is applied at payout time, so beating target boosts the total paid.

Handle splits and no-shows

  1. At the point of sale or service, add a second employee and set the split (even or uneven, e.g. 70/30) — the ledger records each share.
  2. The no-show / late-cancel engine pays trainers up to a configured cap; beyond the cap, no-show sessions earn zero commission.
  3. Caps are set per brand and trainer tier, so this runs automatically once configured.

Review the ledger and adjustments

  1. Open Commissions → Ledger to filter earnings by employee, product, club, or region.
  2. Refunds and voids generate automatic clawbacks; if the current month can't cover one, the negative balance carries forward.
  3. To make a manual adjustment (bonus or correction), enter a reason — it's routed for approval and flagged separately from automated entries.

Read the Commissions report

  1. Go to Reports → Commissions for total sales and commission per salesperson, split paid vs unpaid, over a chosen date range.
  2. Drill into any person to see their individual entries, and export to CSV for payroll.

Run payouts and pay staff

  1. Open Commissions → Payouts, filter by salesperson and date range, and preview what's owed.
  2. Create the payout run, then have a manager approve it — a rep can't approve their own.
  3. Mark it paid. The salesperson is notified in-app and by email both when a commission is earned and again when it's paid.

Commission is always calculated on the net price after VAT and discounts — so a discounted sale pays commission on the lower net figure, not the sticker price.

TIP

Manual overrides on sessions (see Add-Ons) bypass the commission engine and need manager approval — this is the main guard against fraudulent payouts, so keep reason codes accurate.

Targets and accelerators only change the payout, not what's earned per sale — the accelerator multiplier is applied when the payout run is paid, so changing a target never alters an already-earned commission.

Held commissions

If the member was present (gate or app evidence) but the trainer never confirmed, the session conducts and the member is not penalised — the commission however stays held until the trainer confirms within the Booking-policy deadline, after which it expires. Management sees the ledger with each commission's state (held / expired).
