What it does

This module covers everything around the software rather than inside it: how Memvera is implemented and rolled out, how staff are trained, the service levels and support you can rely on, the commercial terms, and the commitments that protect your organisation long-term — data portability, warranty, and regulatory compliance. It's the answer to "once we sign, how does this actually run, who do we call, and what does it cost over time?"

Key concepts

  • Implementation plan — the phased project from kickoff to go-live: milestones, effort by role, dependencies on your team, and contingency.
  • Training — role-based training (front desk, trainers, managers, finance, IT, marketing), a train-the-trainer programme, and 30/60/90-day refreshers, all bilingual.
  • SLA — the committed service level: 99.9% uptime, response and resolution times by severity, service credits for breaches, and 24/7 cover for the most critical incidents.
  • Support model — the channels (phone, email, portal, chat), hours, escalation path, and named account contacts, with access-control and payment issues covered 24/7.
  • Commercial terms — the total cost of ownership (licensing, implementation, migration, training, integrations, support), the professional-services rate card, and the change-request process.
  • Exit & continuity — data export in an open format with no hidden fees, source-code escrow, warranty, and ongoing PDPL/ZATCA compliance.

Main tasks

Plan implementation and training

  1. Review the implementation plan — phases, milestones, the go-live date, and what your team needs to provide.
  2. Agree the training plan by role and location (Riyadh, Jeddah, and other sites), including train-the-trainer and refresher sessions.
  3. Confirm the knowledge-transfer package so your IT team can run routine operations without heavy vendor dependency.

Use ongoing support and SLAs

  1. Raise an issue through the agreed support channel; severity sets the response and resolution targets.
  2. Severity 1 incidents — such as access control or payments down — are covered 24/7, with an escalation path to named contacts.
  3. Receive regular SLA reporting; service credits apply if commitments are missed.

Request changes and manage commercials

  1. Submit a change request; the vendor estimates, quotes, and schedules it through a defined process.
  2. Track which work is covered by contract versus billable against the professional-services rate card.
  3. Review the total cost of ownership breakdown — licensing, support retainer, integrations, and add-on modules.

Exit terms protect you: data can be exported in a documented open format at any time with no hidden extraction fees, source-code escrow can be enabled with agreed release triggers, and a transition period is supported if you ever move to a successor system.

The vendor commits to ongoing PDPL and ZATCA Phase 2 compliance, written notice of any change to the data hosting region, and the ability to migrate to KSA-resident hosting within an agreed timeline if Saudi regulations tighten.
