What it does

The Client Portal is the public, browser-based front door to your gym. It's where a prospect joins online from start to finish — choosing a plan, checking they're eligible, registering, paying, signing the agreement — and where existing members log in afterward to manage everything self-service, with the same features as the mobile app but a richer desktop layout. One unified portal serves both brands (B_FIT and Optimo), themed automatically, in Arabic or English with full right-to-left support.

Key concepts

  • Joining funnel — the step-by-step checkout: choose plan → pre-qualify → register → enter promo/referral → review fees → pay → sign → confirm. Drop-off at any step is captured for follow-up.
  • Pre-qualification — gender, age, nationality, brand/facility, and any corporate code are validated before checkout so a member never buys something the back office would later reject.
  • Brand-aware theming — the URL (subdomain, path, or parameter) sets the brand, which drives the plan list, pricing, facilities, logo, colours, and legal footer.
  • Identity & consent — email verification, mobile OTP, Nafath ID verification for Saudis, guardian consent for minors, and PDPL cookie/data consent.
  • Member dashboard — post-login self-service with full parity to the app: status, billing, bookings, freeze/cancel/renew, documents, wallet, and referrals.

Main tasks

Join online (new member)

  1. The visitor opens the portal; the brand is set from the link and the catalogue themes to match.
  2. They pick a plan and pass pre-qualification (gender, age, nationality, facility).
  3. They register — with email verification and mobile OTP — and the portal de-duplicates against existing records, offering sign-in if they're a returning customer.
  4. They apply any promo or referral code, review the fee breakdown, and pay using Mada, cards, Apple/Google Pay, or BNPL.
  5. They sign the agreement on-screen and reach the confirmation page with the app-download link and any onboarding steps.

Handle special joining cases

  1. Guest day-pass — a visitor buys a pass with minimal details and gets a QR for the turnstile; a placeholder account is created to claim later.
  2. Family/group plan — the primary member adds secondary members in one checkout, each with their own facility preference and signature.
  3. Corporate code — an employee enters their company B2B code, the portal validates quota, auto-selects the corporate plan, and asks for an Employee ID upload.
  4. Minor registration — a guardian-consent link is sent and must be approved before the contract activates.

Manage membership after login

  1. The member signs in and opens their dashboard.
  2. They book classes and PT, view billing and upcoming invoices, and download receipts.
  3. They renew, convert, upgrade, or downgrade, reusing their saved payment method.
  4. They edit their profile, top up their wallet, request refunds, and manage documents — with sensitive changes routed to staff approval.

Tips

TIP

If a member abandons checkout, the portal pushes their selected plan, club, and step into cart-abandonment recovery within seconds, so sales or automated messages can follow up with a resume-cart link.

Returning customers are detected during registration and offered sign-in instead of re-registering — this keeps one record per person and protects marketing attribution (UTM, pixels, click IDs) all the way through to the sale.
